Administrative Assistant

The Mission of the Position

The Administrative Assistant’s mission is to efficiently manage administrative, accounting, and HR processes to ensure smooth operations and provide excellent support to the team. 

You will promote efficiency, organization, and collaboration while maintaining confidentiality. 

The position requires a flexible attitude and a willingness to learn new tools and processes to support the organization in various ways.  

Overall, the goal is to provide exceptional administrative support and help the organization achieve its goals.

Required Outcomes

Administrative

  • Handle all of the various administrative duties and recordkeeping
  • Manage the paperwork for days off, compensation, and other administrative tasks
  • Perform basic accounting tasks, including invoicing and preparing bank payments
  • Make sure the virtual office infrastructure is organized and functions well
  • Support the management and team in various projects and day-to-day activities

HR Tasks

  • Work together with the accounting company to ensure compliance
  • Update and keep track of the employees’ records and contracts
  • Run 1st interviews to screen applicants for fit and basic competency
  • Ensure new hire paperwork is completed and processed
  • Constant improvement of all tasks and processes

Organizational Support

  • Support Management by ensuring nothing falls through the cracks
  • Support Customer Success by monitoring the shared inbox and resolving basic tasks
  • Support Marketing by helping with various research and data collection
  • Support Operations by preparing reports and assisting with special projects as needed
  • Support the Whole Organisation by helping to create a great working environment

Requirements:

  • You speak Romanian 🇷🇴
  • Smart and Gets Work Done
  • You’ve worked for at least 1 year in a similar role
  • Great at Google Sheets and Google Docs
  • Organized and detail-oriented
  • Know and follow the 80/20 rule
  • Can follow and improve procedures
  • Independent, self-directed, follows deadlines
  • Awesome in English
  • You’re fun to be around
  • Lifelong learner
